Role Overview

We are looking for a highly dependable, AI-savvy, full-time Virtual Assistant who can act as a right hand to the founder, manage end-to-end operations, and ensure a seamless experience for our global community. This is NOT a basic VA role.

This role requires customer handling ability , being tech savvy , Ai enabled , ownership, maturity, discretion, and execution excellence.

As a full time resource you are expected to contribute to all initiatives new and existing within the working hours.

Ability and Open ness to learn quickly is important as AI has opened up a whole new world of opportunities

Working Hours

Monday to Friday: 10:00 AM – 7:30 PM (45-minute lunch break) approx 9 hrs ( flexible )

Saturday: 825 am to 525 pm ( I have a session starting at 830 am every morning )

6 days/week commitment _________________________________________________________

Salary is negotiable and based on experience and ability to handle these tasks

Broad Key Responsibilities 1. Customer Experience & Support Onboard new customers into programs and communities

Provide access to Learning Management Systems (Tagmango LMS currently but could change in future)

Handle customer queries via email and support channels

Manage testimonials and feedback collection

Support webinar and event participants (Zoom, WhatsApp groups)

2. Learning Management System (LMS) Management Upload and manage courses on platforms like TagMango / LMS tools

Upload videos (YouTube/Vimeo downloads) into LMS

Create course thumbnails and structure modules

Ensure smooth user access and experience

3. Email Marketing & Automation Manage email systems like ConvertKit

Create and send newsletters

Segment audiences and update lists

Execute automated email sequences

Handle both customer and non-customer communication

4. Content & Design Execution Create social media creatives using Canva

Design:

Thumbnails

Newsletter covers

Social media posts

Brochures & booklets

Rebrand existing assets (slides, PDFs, workbooks, books, JPEGs)

5. Social Media & Growth Support Post content across:

LinkedIn

Instagram

Facebook

Twitter (X) Youtube ( upload videos , seo ,create thumbnails ) Podcasts (( upload videos , seo ,create thumbnails ) WhatsApp Marketing ( create jpegs , manage and post content )

Create LinkedIn posts (text, carousels, articles)

Send connection requests to relevant professionals

Assist with content planning from releases and campaigns

6. Content Creation & Repurposing Create:

PowerPoint presentations

Workbooks & worksheets

Quizzes & Google Forms

Ebooks and articles

Convert documents into slides

Create summaries of HBR-style articles

Prepare content for newsletters and social media

7. Webinar & Event Operations Manage Zoom sessions (especially Saturday sessions)

Send WhatsApp invites and reminders

Coordinate participants and access

Support live sessions execution

8. Marketing & Growth Execution Post ads across platforms

Assist in SEO reporting

Prepare competitor research documents

Compile content from websites and industry leaders

Support funnel execution (webinars, landing pages, campaigns)

9. Administrative & Operational Excellence Maintain strict confidentiality of all business data

Manage files, drives, and internal systems securely

Create QR codes, upload media assets, manage digital workflows

Assist founder with day-to-day execution tasks

10. You Tube Creation of thumbnails , optimisation of videos with seo , competitive research and release of videos 11,

Whatsapp Creative design and Automation Design creative of jpegs and messages . Knowing how to use AI senzy or any other tool is an advantage ( willingness to learn )

Ideal Candidate ProfileIdeally Prior experience working with a Coach / Trainer / Consultant ideally but if you have customer and marketing exposure then working with another founder and marketing basics is also ok

Strong understanding of Customer interaction and Digital marketing basics Someone who wants to work full time and is fully committed to this role

Experience with:

LMS platforms ( tag mango preferred or any other ) Email marketing tools ( convert kit preferred )

Social media ( all channels , linkedin, Insta, FB , X ( twitter ) Youtube Thumbnails , seo Basic ( audio and Video editing ) Podcasting support ( design of channel , upload , optimising )

Fluent in English and conversational ability in Hindi preferably or a south indian language High level of trustworthiness and discretion Not looking for those who think they can free lance on the side during the 8 hours of work as it is fast paced

AI & Tech Readiness Comfortable using AI tools ( chat gpt , Claude , gamma,canva ) for:

Copywriting and emails

Content creation/presentation

Research

Productivity

Ability to learn and adopt new tools and skills quickly

Personal Attributes Mature, responsible, and proactive to deal with customers and keep them happy

Strong attention to detail

Execution-focused (gets things done without follow-ups)

Organized and process-driven

Calm under pressure

High growth and ownership mindset

Independant worker. Needs low supervision and definitely not high maintenance in term of attention, emotions and assurance

What This Role Is NOT

ideally Not for some who wants to work part-time or temporary freelance role

Not suitable for freshers

Not for someone who is unwilling to learn AI or any other new skill

Not for someone who cannot talk or handle customers ( someone who is low on patience or abrupt or rude )

Not for someone who goes only by a job description . During the working hours you should be willing to learn and do anything for the business
